Birthday Party Entertainment Checklist

Entertainment plays a large role in any birthday party. The type of entertainment varies depending on a number of factors, but the basic steps to prepare for the entertainment remain the same. Selecting a theme for the party provides a guiding force when it comes to the details such as entertainment.

Type

Decide on the type of entertainment for the birthday party. The type of entertainment varies based on the ages of the guests, the party budget, the available space and personal preference. Basic entertainment options include games and crafts. Another option is the rental of entertainment items such as bounce houses or a pony for riding. Hired entertainment options for birthday parties include bands, magicians, clowns or comedians.

Reserve Entertainment

If you plan to use a hired performer or rent something as the entertainment for the party, place the reservation several weeks in advance. This secures the entertainment for the party. A down payment usually accompanies the reservation to ensure you don’t back out at the last minute. Ask for a confirmation or receipt from the company as proof of your down payment and reservation. Verify that the company has the correct date and time.

Layout

Plan the setup for the entertainment. Consider the amount of space necessary for each form of entertainment at the birthday party. If multiple activities will occur at once, spread them out in the party area to provide enough room. Determine if any furniture will need to be rearranged to accommodate the entertainment. Decide if additional tables or chairs are needed.

Materials

If you are providing the entertainment without the help of a hired performer, make a list of the materials needed for the activities. Gather the supplies several days in advance to ensure you have everything needed. Do any preparation work ahead of time, such as preparing craft materials, making a sample or designing a party game related to the theme. This saves time and reduces the stress as the party nears.

Setting Up

Give yourself plenty of time on the day of the birthday party to set up the entertainment. Arrange any tables and chairs first since they will take up the majority of the space. Add the decorations and any supplies needed for the activities. If someone is performing or you have a rental being delivered, confirm with the company the day before. Make sure you know the amount of space they need before they arrive for a smooth setup.
